What's new

New features and improvements in Trine.

Recruitment

Recruitment now has its own place in People, and our Data Processing Agreement and Privacy Notice are updated to version 1.2.

Available now: set up vacancies, careers settings and your recruitment privacy notice (written in Trine or a link to your own page). Public careers pages, online applications, website embedding and PDF notices aren't switched on yet — the items about applicants, CVs and the careers page below apply once they are.

Who and which plans: care homes whose plan includes Staff / HR. Vacancies and applications are for people who manage staff records; applicant details, CVs and review need recruitment management as well. Careers settings are for the home's Settings holders. Website embedding is Enterprise.

Recruitment has its own place in People

  • New: People → Recruitment. Vacancies, applications and your careers page now live together under People (previously Staff → Jobs). Old links still work.
  • Overview. See active vacancies, applications received, applications awaiting review and applicants progressed to Candidates, with charts for applications over time and by vacancy. Choose 30 days, 90 days or a custom range.
  • A clearer vacancy list. Each vacancy shows its pay, openings, shift and job type, its applications with how many are awaiting review, and its closing date.
  • Applications in one list. Review every application across your vacancies and filter by status, vacancy or date.
  • Review without creating Candidates. Applicants from your careers page stay in Recruitment until you choose Progress to Candidate. Mark applications as in review or reject them — applicants aren't emailed.
  • Secure CVs. CVs are malware-checked, visible only to recruitment managers with staff-records access, and every view is audited. When you progress an applicant, their CV is added to the candidate's documents automatically.
  • Better vacancy editing. Pick the role from a searchable list, format the description with a toolbar and preview, choose requirements and benefits from suggestions, pause and resume vacancies, and preview the public page in a popup before you publish.
  • Settings where you expect them. A gear at the top right of Recruitment opens Settings → Recruitment.
  • Recruitment privacy notice, three ways. Link to your own page, upload a PDF, or write it in Trine from Trine's UK template. The template has a document-style editor with placeholders, undo / redo, and Trine's own statements filled in from facts Trine has verified (see the read-only Platform disclosure basis). If those facts change, you're asked to review and republish; your published notice is never changed for you.
  • Website embedding (Enterprise). Approving a website now covers it with and without "www.".
  • If a scanner isn't available, the careers page says online applications can't be accepted right now rather than accepting an unchecked file.

Legal documents updated (DPA and Privacy Notice 1.2)

  • Data Processing Agreement 1.2 and Privacy Notice 1.2 now list Cloudflare, which delivers and secures connections to Trine and runs the anti-spam check on public forms. They also explain the encryption between Cloudflare and Trine's servers. Nothing else changes, and you don't need to accept the DPA again.

Privacy notice changes and your vacancies

  • When Trine's platform information in your recruitment privacy notice changes, Recruitment now tells you how much it matters:
    • minor changes show a note, and you confirm once before publishing a vacancy;
    • changes that make your notice inaccurate pause publishing, resuming and reopening vacancies, and keep scheduled ones hidden, until you publish the updated notice. Live vacancies keep running.
  • Nothing about your published notice changes unless you approve and publish it.
  • Updating to a newer notice template is now a guided review. Sections you haven't changed update automatically, you choose for the ones you have, your answers are kept, and you can undo it for 72 hours before approving.
  • Tables in your privacy notice. The notice editor can now add a table and add or remove rows and columns.

A tidier menu with section pages

The Care Home menu is now grouped, so everything is easier to find.

  • Pages sit under Compliance, People, Quality & Safety and Governance, with Dashboard, Residents and Settings still one click away.
  • Click a section to open its page of cards, each with a short description and its own count of things to look at.
  • Every page shows where you are — "‹ Governance" to step back, and a Governance › Meetings trail.
  • The arrow beside a section opens or closes it without leaving the page you're on.

New: the Organisation log

Keep a dated record of your dealings with outside organisations — the council, GPs, the NHS, regulators, contractors, families and suppliers.

  • Record who was involved, what happened and the outcome, with letters, emails and photos attached as evidence.
  • Each entry opens as a read-only page; press Edit to change it, and its history shows exactly what changed and who changed it.
  • Filter by category, status, date or who recorded it, and raise an Action Plan for any follow-up.
  • Export a professional PDF of the entries you're looking at — ready to show an inspector.

Quicker, safer sign-in

Signing in with two-step verification is smoother and safer.

  • Enter your 6-digit code in six separate boxes — or paste it in one go.
  • Your verification code is checked before your workspaces are shown.
  • Choose Don't ask for a code on this computer for 30 days on a computer you trust (never on a shared one).

Meetings, competency and staff resources

Several everyday improvements across People and Governance.

  • Meetings: an uploaded minutes file now opens in the document viewer, and you can record its agreed actions so they carry into the next meeting and to Action Plans.
  • Competency & induction: a library of criteria by role, sign-off criterion by criterion, "not yet competent" attempts kept on record, and reminders before a competency expires.
  • Staff Resources: add links to trusted web pages alongside your files.
  • Action Plans: archive a finished plan to keep the list tidy, and restore it at any time.

Better-looking PDFs and a refreshed Help Centre

Your exports and our guides have had a refresh.

  • PDFs — action plans, audits, incidents, surveys, meeting minutes and letters — have a cleaner layout, with selectable text and page numbers.
  • Every Help Centre guide has been rewritten for the new menu, with step-by-step instructions and new screenshots.

Updated terms and policies

We've published version 1.1 of our legal documents: the Terms and Conditions, Subscription Agreement, Data Processing Agreement, Privacy Notice, Data Retention Policy, Cancellation and Data Export Policy, and the Uploaded Compliance Records statement.

  • Clearer explanations of what we keep, for how long, and how you can export your data.
  • More detail on how we keep your data secure.

Read them any time at trine.uk/legal.

Smarter Routine Check scheduling

Routine checks now follow how your home actually works.

  • Monthly and longer checks are due one interval after the last one was done, so there's never a longer gap than there should be. You can still choose fixed calendar dates for any check.
  • Record when a check was actually carried out, including early — the next due date moves on from that day.
  • Done early or late? Choose whether to keep the original schedule, with a warning if that would leave a longer gap.
  • Set the first due date from any day, and preview the resulting dates before you save.
  • Mark rows a column doesn't apply to as you add them, and pick times with the same picker used across Trine.

Supervision and appraisal follow-ups

Supervision and appraisal records now carry through from one session to the next.

  • See the previous session side by side while you record, and review earlier agreed actions.
  • Turn agreed actions into Action Plans and track them to completion.
  • Run group sessions from group templates or your own sections, and revise them with a full version history — attendees re-acknowledge when the content changes.
  • A new Supervision / Appraisal register in Reports.

Quicker incident recording, clearer summaries

Less clicking, clearer numbers.

  • Record the time an incident happened; the owner defaults to you.
  • Export the register to Excel, with a sheet per category.
  • Summary cards on Audits and Action Plans show what's due, overdue and still without a plan — click a card to filter.
  • Staff allocated to an audit can send its findings straight to Action Plans.
