History

Searchable operational timelines

Cross-module event feeds for this care home. Reports is for trends and downloadable rollups; History is for "what happened, when, and who did it" across actions, audits, care hours, and (later) more modules. Each card has its own filters, sortable table, and CSV export.

Billing & Subscription
Billing for this care home.
Cards, invoices, and subscriptions belong only to this care home. Each care home is billed independently — one card here never pays for another home.
Readiness settings
Configuration for how this care home's modules feed its inspection-readiness score. To act on readiness — work the register and close evidence gaps — use the Readiness page.
Readiness sources
Choose how each module contributes to this care home's inspection-readiness score. Platform (default) means the in-app module status drives readiness; External evidence means the Evidence Register supplies it instead; Disabled excludes the module from the score. Two related-but-distinct audit sources sit below — the Care Home Audit Tool is the active recurring-audit source, while the legacy Audit Programme is kept historical / read-only and no longer drives active readiness.
Fallback staff
When an action's owner is deactivated, their readiness items fall back to the care home's home manager automatically. If the home manager is also no longer available (e.g. they're the one leaving), items fall back to the user picked here instead. Choose Unassigned to leave items unassigned in that case rather than reassigning to a backup.
Bulk owner assignment
Assign an owner to every readiness control in this care home that currently has none. Controls that already have an owner — and provider-wide, retired, or not-applicable controls — are left untouched.

Care home logo

Shown on the candidate portal so applicants see your brand, not Trine. Recommended: square image at least 256 × 256 pixels (PNG, JPG, or WebP, up to 2 MB).
Finance
Home type, default FNC weekly rate, Local Authorities and Floors picklists. Drives the resident editor + dashboard FNC rollups.
Home type
Residential homes hide FNC fields entirely. Nursing exposes them.
Default FNC weekly rate
Per-care-home — change here applies to every resident in this home unless overridden on the allocation. Other care homes in the same provider keep their own values.
Local authorities
Picklist for funding source = Local Authority. Deactivated rows stay linked to existing allocations.
Floors
Drives the Floor dropdown on the room editor. Each floor has a "Pick rooms" button — rooms are mutually exclusive (a room belongs to at most one floor). Deactivated floors stay attached to existing rooms.
Room amenities
En-suite and Shared rooms are independent attributes — toggle each by picking the rooms that have it. They coexist with any floor assignment.
En-suite rooms
Shared rooms
Custom fields
Add your own columns (text / number / date) to track resident-level info this app doesn't already capture. Values appear on the resident profile and as opt-in columns on the Residents table. Archive a field to keep historical values readable; delete works only if no resident has filled it in.
Dependency tool
Default categories and the staffing-minute lookup that powers the per-resident assessment and the home-wide collective-hours figure. Disabling a category hides it from this home's assessment modal — other homes are unaffected.
Categories
All 12 default categories are enabled out of the box. Untick any that don't apply to this home — they'll be hidden from the assessment modal and the home-wide matrix here only. Disabled categories don't drop their staff-minute contribution from existing residents' totals (those snapshots are frozen) — only new assessments stop seeing them.
Levels
Five-level rubric used across every category. Numeric scores drive the per-resident overall mean (0–4).
Minutes lookup
Per-(category × level) staffing minutes per day, summed per resident to drive the staffing-hours figure. Nursing homes show HCA + RN figures; residential homes show a single HCA-only figure since there's no RN cover on shift. Edit any cell; system rows that have been changed from their platform default are flagged Amended. Restore defaults clears every override for this home in one click; custom categories' minutes are preserved (those are your own configuration, not overrides).
Audit settings
Toggle which seeded audits appear in the Audit table for this care home, and manage custom audits.

Training settings
Training catalogue for this care home. System-seeded types can be edited but not deleted — use Deactivate to hide them from the matrix.
Access control
Managers of this care home always have full access. Use these lists to grant extra staff or roles the ability to see the training matrix or accept staff-uploaded certificates.
Who can view the Training matrix
The cross-staff × trainings grid under the Matrix tab.
Who can accept staff uploads
Accept / Reject the cert inside the View modal. These users also get Edit dates.
Supervision & Appraisal settings
Cadence and templates for supervision and appraisal sessions. System templates are read-only; duplicate to customise.
Cadence
Blank values fall back to the system defaults (3 months for supervision, 12 months for appraisal).
Templates
The Allocate button chooses which roles use a template by default when recording a new entry. A role can only own one default per session type; reassigning moves it silently.
Who can supervise whom
Each row defines who one supervisor can supervise: either by role (covers every staff member matching the role) or by specific user (one-off assignments). A supervisor with no rule can't supervise anyone on this tab.
Meetings settings
Meeting types, templates, and the default template per type. System types (Management, Staff, Residents/Relatives) are read-only; duplicate to customise.
Meeting types
System types can't be renamed or archived. Add a custom type for anything else your service runs.
Templates
Each meeting type has a default template that pre-fills the Add Meeting modal. Duplicate a system template to customise its questions — the "Set default" button swaps which template new meetings use.
Staff settings
Configure document slots, form templates, and interview templates for staff / candidate workflows.
Staff communication categories
Add your own categories to tag staff communication notes. Provider admins can create a category for every home; care-home managers add categories for this home only. No duplicate slugs across scopes — if "Wellbeing" is provider-wide, you can't add a local "Wellbeing" too.
Categories
Click a column header to sort. System categories are the vocabulary baseline and can't be renamed or archived. Provider-wide rows ("All care homes") are read-only here unless you're a provider admin.

Menu access
Pick which left-nav menus each role sees at this care home. Managers (Home Manager, Deputy Manager) always see every menu. Settings and Users remain admin-only regardless of what's ticked here.
Each row is a job title — these are templates that set the default menus for anyone with that job title here. (You can still override a single person under Edit user → Access.) History follows Reports: granting Reports also grants History. Job titles map to fixed permission / access levels, so they can't be renamed or added here — custom roles are a planned future option.
Compliance documents
Upload and track your compliance documents — H&S certificates, fire-safety records, policies, registers — by expiry. Replace a document to supersede it; the full version history is kept. Recurring audit checks (walk-rounds, daily logs, care-plan audits) now live in the Audit menu.
